Use Online Reporting Systems

Government agencies, treatment providers, employers, courts, and supervision offices may use portals, mobile applications, text links, video appointments, or document-upload systems. This guide explains how to use those systems carefully, protect account access, and preserve proof of completed actions.

Verify the system before signing in

Do not assume every link in a text message or email is legitimate. Compare the link, application name, telephone number, or website with the written instructions from the agency or provider. When uncertain, contact the office through a previously verified number rather than replying to the message.

  • Confirm the agency or provider name.
  • Check the exact website address or official application listing.
  • Ask whether the office sends login links by text or email.
  • Do not share a password, PIN, or one-time verification code with someone who contacts you unexpectedly.
  • Look for signs of phishing, including urgency, threats, spelling errors, unusual domains, or payment demands.

Create a reliable account

  • Use a professional email address that you control.
  • Use a telephone number that can receive calls and verification messages.
  • Create a long, unique password or passphrase.
  • Turn on multifactor authentication when the system offers it.
  • Save backup codes in a secure place.
  • Keep recovery email and telephone information current.
  • Do not reuse the same password for email, banking, benefits, and reporting systems.

Email access is especially important because password resets, appointment notices, verification codes, and submission confirmations may be sent there.

Prepare before beginning

  • Charge the device and confirm internet access.
  • Gather the case number, participant ID, or account number.
  • Prepare documents in an accepted file format.
  • Check file-size limits.
  • Use clear file names, such as July-2026-Paystub.pdf.
  • Allow enough time before the deadline.
  • Write down the office contact number in case the system fails.

Avoid beginning a time-sensitive submission with only a few minutes remaining. Uploads, identity checks, browser updates, or password recovery may take longer than expected.

Scan and upload documents clearly

  1. Place the document on a flat surface. Use good lighting and avoid shadows.
  2. Capture the full page. Do not cut off names, dates, signatures, totals, or agency information.
  3. Review readability. Zoom in before uploading.
  4. Use the requested format. Common formats include PDF, JPG, and PNG.
  5. Upload the correct file. Open it again from the upload screen when possible.
  6. Complete the final submission step. An uploaded file may remain a draft until “submit,” “confirm,” or a similar action is selected.

Keep proof of completion

After submitting a report, appointment check-in, payment, document, or attendance record, save evidence showing what happened.

  • Confirmation number
  • Date and time
  • Screenshot of the successful-submission page
  • Confirmation email or text
  • Copy of the uploaded document
  • Payment receipt
  • Name of the office or system used
  • Any follow-up deadline

Store proof in a secure folder organized by month or requirement. Do not rely entirely on the portal retaining a visible history.

When the system fails

A technical failure does not automatically excuse a missed requirement. Follow the office’s instructions for outages and alternative reporting.

Prepare for video appointments

  • Test the camera, microphone, speaker, and connection.
  • Use the official meeting link.
  • Join early enough to resolve technical problems.
  • Choose a quiet, appropriate location.
  • Keep identification and requested documents nearby.
  • Do not record the meeting unless expressly authorized.
  • Confirm the next appointment and any required follow-up.

Using a library or shared device

Public libraries and workforce centers can provide valuable computer and internet access. Protect personal information when using a shared computer:

  • Use a private browser window when available.
  • Do not allow the browser to save passwords.
  • Log out of every account.
  • Delete downloaded identity documents from the device.
  • Remove files from the recycle bin when permitted.
  • Take printed documents and handwritten notes with you.
  • Do not leave the screen unattended while signed in.

Use public Wi-Fi carefully

Most modern websites use encrypted connections, but users must still verify that they are on the correct website. Look for https and the lock symbol, keep the device updated, avoid suspicious links, and use multifactor authentication. Encryption does not make a fraudulent website trustworthy.

For highly sensitive transactions, a trusted mobile connection or secure network may be preferable when available.

Build a weekly digital routine

  • Check email and official portal notices.
  • Review upcoming appointments and deadlines.
  • Download or organize recent confirmations.
  • Charge devices and check available data.
  • Update contact information after any change.
  • Install security and operating-system updates.
  • Back up essential documents.
